This Privacy Policy explains how Diamond Sports Designs ("DSD," "we," "us") collects, uses, and protects your information when you use the Southwest Gear online store (the "Store"). By using the Store you agree to this policy. It works alongside our Terms & Conditions and Refund Policy.

1. Information we collect

We collect only what we need to take and fulfill your order:

Contact & order details: your name, email, phone, and billing and shipping address.
Personalization details: the player name, number, size, and team you enter for custom items.
Technical information: basic information your browser sends (such as your IP address), and information stored locally in your browser — see "Cookies & local storage" below.

2. Payment information

Card payments are handled by our third-party payment gateway. Your card number, expiration, and security code are entered into secure fields hosted by the gateway and are tokenized in your browser. We never receive or store your full card number or security code — our systems only ever see a payment token and limited details such as the card brand and last four digits. This keeps your card data with the gateway and its bank, not on our servers.

3. How we use your information

To process, produce, and deliver your order, and to notify you when it ships or is ready for pickup.
To provide customer support and respond to your questions.
To detect and prevent fraud and to keep the Store secure.
To comply with our legal, tax, and accounting obligations.
If you opt in, to send occasional store updates. You can unsubscribe at any time.

4. Cookies & local storage

We use your browser's local storage to remember your shopping cart and your selected team so the Store works smoothly. We do not use third-party advertising or cross-site tracking cookies. The payment gateway that serves the card fields may set its own cookies that are strictly necessary for secure payment processing.

We share your information only as needed to run the Store, and we do not sell your personal information. We may share it with:

our payment gateway and its bank, to process your payment;
shipping carriers, to deliver your order;
the Midland Southwest Baseball organization, to coordinate team orders and fulfillment;
service providers who help us operate (such as email delivery), under confidentiality obligations; and
authorities, where required by law or to protect our rights.

6. Data retention

We keep order records for as long as needed to fulfill your order and to meet warranty, accounting, and legal obligations, after which we delete or anonymize them.

7. Security

Payments are encrypted in transit (TLS) and card data is tokenized by the gateway so it never reaches our servers. We restrict access to order information to people who need it to do their job. No method of transmission or storage is completely secure, but we take reasonable measures to protect your information.

8. Children's privacy

The Store is intended for adults (18+) purchasing on behalf of players. We do not knowingly collect personal information directly from children under 13. Any player name or number is submitted by the purchasing adult solely to personalize an item. If you believe a child has provided us information directly, contact us and we will delete it.

9. Your choices & rights

You may ask us to access, correct, or delete the personal information we hold about you, and you can opt out of marketing emails at any time. Depending on where you live, you may have additional rights under laws such as the Texas Data Privacy and Security Act or the California Consumer Privacy Act.
